Audio visual is the part of an event nobody notices until it fails. Get it right and guests remember the speaker, the performance and the food. Get it wrong and they remember squealing microphones and a screen nobody at the back could read. We supply and operate complete AV setups across Delhi NCR, with our own equipment and our own crew.

What a full setup involves

Four elements, usually working together. Display, meaning projection or an LED wall. Sound, meaning speakers, mixing and microphones. Lighting, both to see by and to look good on camera. And the signal chain that ties them together, which is the part clients never see and the part that most often decides whether the event runs smoothly.

Individual pieces can be hired on their own, and plenty of clients take just a projector and screen or just a sound system. The reason to take the whole setup from one supplier is that nobody is standing in your venue arguing about whose cable is at fault.

The signal chain, briefly

Content comes from laptops, cameras or media players. It passes through a switcher, which is what allows a presenter to hand over to a video and then to a live camera without anybody unplugging anything on stage. From there it goes to the screens, while audio splits off to the mixer.

Events that skip the switcher and plug each laptop in directly are the ones with awkward pauses between speakers. For a two speaker seminar that is tolerable. For a conference with eight sessions it is not.

Lighting, which usually gets forgotten

Two jobs. Functional lighting so the audience can move safely, find the food and read a programme. And stage lighting so speakers and performers are lit properly from the front rather than being silhouettes against a bright screen.

That second point catches people out constantly. A speaker standing in front of a bright display with no front light is a dark outline on every photograph and every video recording. A single well placed front light fixes it and costs very little.

Typical events we cover

Conferences and seminars, where reliability beats spectacle. Product launches and dealer meets, where the reveal drives the technical build. Weddings, particularly sangeet evenings with performances and video. School and college annual functions. Exhibitions and dealer conferences, where the same kit runs for three consecutive days and has to survive being switched on and off by whoever arrives first.

Multi day events change the requirements. Equipment stays overnight, which raises security and power questions, and the crew schedule matters as much as the equipment list.

Crew, and what they actually do

For anything beyond a single projector we send an operator rather than just an installer. During an event that person is riding audio levels between a loud presenter and a quiet one, switching sources, and fixing the problem that was never in the plan.

For a conference we would normally suggest one sound operator and one vision operator. For a straightforward seminar, one person covers both. We will tell you which your event needs rather than quoting the larger crew by default.

Site visits and coverage

For anything substantial we would rather see the venue first. Ceiling height, available power, load in access, whether the room darkens and where the rigging points are all change the design, and all are cheaper to check in advance. Questions we get asked

Can you work alongside our own event agency?
Often do. We handle the technical build and the agency runs the event. Clear division of responsibility makes it work.

Do you provide backup equipment?
On request, and we recommend it for anything with a live audience and a fixed start time. Spare projector, spare microphone, spare mixer.

How long does setup take?
Two to three hours for a conference room, most of a day for a large stage with an LED wall and lighting rig.

Can you record or stream the event?
Yes. Taking a clean feed from the switcher gives a far better result than a camera pointed at the screen.
