Nearly every complaint about event sound is the same complaint: people could not make out the words. Not that it was too quiet, not that the music was poor. That the speech was mush. Specifying a PA system for intelligibility rather than raw volume is most of what we do, and it costs no more.
What a PA system actually is
A working system has four parts: speakers, an amplifier, a mixer and microphones. Powered speakers combine the first two, which is why they dominate smaller hires. The mixer is where multiple microphones and music sources are balanced. Microphones are where most of the money should go, because a good speaker cannot rescue a bad mic.
A typical package for a hundred guests is two powered speakers on stands, a small mixer, two cordless handhelds and a lapel microphone. Add a subwoofer only if there is dancing. Speech does not need one and it eats budget.
Sizing against the room, not the guest list
Headcount is only half the picture. Fifty people in a carpeted room with curtains need modest power. Fifty people in a marble banquet hall need more, and they need the speakers angled so sound reaches the audience rather than bouncing off the walls into a smear.
Outdoors is the opposite problem. There is nothing to reflect off, so sound simply disappears with distance. Lawns and terraces need more power than their size suggests, and for large open events you are usually better with several smaller speaker positions than two very loud ones at the front.
Microphones matter more than people think
Lapel microphones for anyone speaking at length, handhelds for questions and announcements. Cordless units need frequency checking at the venue, because a hall that hosted a different event yesterday may have several systems fighting for the same band. We check this at setup rather than discovering it during a speech.
Feedback, the squeal everyone recognises, is nearly always a placement problem rather than an equipment fault. Microphones in front of speakers will always eventually squeal. Half a minute of thought at setup avoids it for the whole evening.

With or without an operator
Small systems are simple enough to hand over after a briefing, and for a society function or a school assembly that is usually the right call. Anything with multiple speakers, live performance or a mixed run of speech and music benefits from somebody riding the mixer, because levels that suit a loud presenter will bury a quiet one.

Power and cabling on site
Sound systems fail on power more often than on equipment. Amplifiers and powered speakers draw real current, and a venue that puts your system on the same circuit as the caterers' warming trays will trip halfway through a speech. We ask which sockets are available and on which circuits before delivery, and for lawns and farmhouses we will usually specify a generator rather than hope.
Cable runs are the other practical matter. Speakers positioned properly are often a long way from the mixer, and cable crossing a walkway needs taping or matting. It is a small thing that prevents both a tripped guest and a system pulled off a stand mid event.
Questions we get asked
How many speakers for two hundred people?
Indoors, usually two good ones placed properly. Outdoors, four in two positions. Placement changes the answer more than quantity does.
Can we play music from a phone?
Yes, over Bluetooth or a cable. For anything important we recommend the cable, because phones interrupt Bluetooth audio for calls and notifications.
Do you supply for outdoor events?
Yes. Tell us the area to be covered and whether there is a power point, since lawns often need a generator.
How late can we run amplified sound?
Outdoor amplified sound across Delhi NCR generally has to stop by ten at night. Indoors at reasonable levels is a venue matter.
