Corporate events are judged by people who did not choose to attend. That is the whole difficulty. We plan and run annual days, offsites, town halls and team celebrations across Delhi NCR, and we supply the stage, sound, lighting and screens ourselves rather than coordinating three vendors who have never worked together.

The events we run most

Annual days are the biggest, usually a few hundred people, an awards segment, performances by teams who rehearsed at lunchtime, and dinner. They live or die on the running order. Offsites are smaller and longer, mixing sessions with activities, and need the room reconfigured between the two without a forty minute gap.

Town halls and all hands are the most technically exposed, because it is mostly one person talking to a large room and any weakness in the audio is obvious immediately. Festival parties, quarterly celebrations and long service awards round out the year, most of them clustered in December and March.

Awards segments need planning, not equipment

The awards portion is where corporate events most often stall. Forty recipients, a stage with one set of steps, a photographer who needs everyone in the same spot, and a compere reading names from a list that changed that morning.

The fix is procedural. Recipients are seated in award order near the front, they go up one side and leave down the other, the photographer has a fixed mark, and the list is locked at a stated cut off. Get that right and forty awards take twenty minutes. Get it wrong and the same forty take an hour while dinner goes cold.

Audio comes first

For most corporate formats, sound matters more than anything else in the room. People will forgive plain decor. They will not forgive being unable to hear the chief executive from table nineteen.

We specify for speech intelligibility and put lapel microphones on presenters, with handhelds for questions. Our own PA systems and mixing consoles go out with an engineer for anything above a modest size, because live sound needs somebody riding it when a soft speaker follows a loud one.

Screens and stage

Banquet halls with bright house lighting are difficult for projection, and the fix is either a genuinely dimmable room or an LED wall. For a presentation heavy town hall in a controlled room, a bright projector and a large screen is the cost effective answer and looks perfectly good.

Stage size gets underestimated. A stage sized for the compere alone becomes a problem the moment a team of eight performs on it, and larger stages need more front lighting or the performers are in shadow. We size it against the fullest moment in the running order, not the average one.

Budgets and approvals

Corporate budgets come with procurement, and procurement wants a written quotation with items listed separately. We quote that way as standard, so nobody has to unpick a single line total to answer a finance query.

Where the budget is fixed, we will say plainly what it does and does not cover rather than trimming quietly and letting you discover the gap on the day. If the number does not stretch to the brief, that is a conversation worth having three weeks out.

Questions we get asked

How much notice do you need?
Three weeks is comfortable. December is our busiest month by a distance, so annual day dates in that window are worth confirming by October.

Can you supply equipment only, without planning?
Yes. A large share of our corporate work is sound, screens and lighting delivered to an event the client is running themselves.

Do you provide a compere or performers?
We can arrange both through people we have worked with. Many companies prefer an internal host, which usually goes down better with the audience anyway.

What about a hybrid event with remote colleagues?
We can take a clean feed to a streaming platform so remote attendees get the presentation and proper audio rather than a camera aimed at a screen.
