Machines by monthly volume

The only number that really matters when choosing a copier is how many pages a month you expect. Everything else follows from it.

Under about five thousand pages a month, a desktop multifunction unit is enough and takes up a corner of a table. Five to twenty thousand puts you into a floor standing machine with proper paper trays, a document feeder and duplex printing as standard. Above that you are into production class equipment with finishing options, high capacity trays and a duty cycle designed for continuous running.

Guessing low is the common mistake. A machine run permanently at the top of its rated volume jams more, needs toner constantly and fails early. If your estimate sits near a boundary, we will normally suggest the larger machine, because the rental difference is smaller than the disruption of an underpowered one.

Typical reasons people rent

Examination seasons drive a lot of it. Schools, colleges and coaching institutes need serious copying capacity for a few weeks and nothing like it for the rest of the year. Tender and bid work is similar: a fortnight of heavy document production, then quiet.

Offices in temporary premises rent because a copier is an awkward thing to move. Event organisers rent for registration desks and delegate packs, often alongside printers and scanners for the same days. Courts, chartered accountants and legal teams rent around filing deadlines.

What is included

Toner, servicing and breakdown support come with the rental. Rentals are quoted either as a flat monthly figure with a page allowance, or as a lower base with a per copy rate beyond the allowance. Which suits you depends on how predictable your volume is, and we will explain both rather than defaulting to whichever is better for us.

Paper is normally yours to supply, simply because most offices already buy it in bulk more cheaply than we could pass it on. Say the word if you would rather we included it.

Practical things worth checking

Floor standing copiers are heavy. Before delivery, tell us the floor, whether there is a working lift, and how wide the doorway is. We have carried machines up three flights before and would rather plan for it than discover it. Basement offices and old buildings are worth a mention when you book.

Power is the other one. Larger copiers want a dedicated socket rather than a shared extension board, and a machine sharing a circuit with an air conditioner will trip it. Point us at the socket you intend to use and we will tell you whether it is suitable.

Questions we get asked

Colour or black and white?
Black and white is markedly cheaper per page and covers most office copying. Take colour only if the output goes to clients.

Can we rent for exam season only?
Yes, and a lot of institutions do exactly that. Book early for February and March, which are the busiest weeks of our year for copiers.

Does it scan and email as well?
Most of the multifunction units do. Tell us if scan to email or scan to folder matters and we will configure it at installation.

What happens if we exceed the page allowance?
You are billed the agreed per copy rate for the excess. No penalty, no renegotiation.
