Buying a printer for a six month project rarely makes sense. Neither does buying twenty of them for an exam week. We rent laser, colour and multifunction machines across Delhi NCR, with the cartridges included and somebody to call when a jam turns into a queue of irritated people.
The machines we hold
Monochrome laser printers make up most of what goes out. They are fast, cheap to run per page and they cope with the sort of volume an office actually produces. Typical desktop units handle twenty to forty pages a minute and a few thousand pages a month without complaint.
Colour lasers go out for marketing teams, design studios and anyone producing client facing documents. Inkjets we keep for photo quality work rather than bulk. Multifunction units combine printing, scanning and copying in one box, which is usually the right answer for a small office that does not want three devices on one desk. For genuinely heavy copying volumes, a dedicated copier is the cheaper machine per page.
On the scanning side we have flatbed units for books, bound documents and anything fragile, and sheet fed scanners for digitising a filing cabinet. If you are running a records digitisation project, the sheet feeder is the one that decides whether the job takes a week or a month.
Who rents them and why
Offices setting up a new floor take printers on rent while the purchase approval works its way through procurement. Project teams rent for the length of the project and hand the machine back rather than finding a cupboard for it. Schools and colleges rent heavily around exam and admission season, when the normal machine cannot keep up.
Exhibition stands are a smaller but regular slice: a printer for badges, order forms and last minute collateral, usually for three days, usually alongside laptops on rent for the same period. Chartered accountants and law firms rent extra capacity around filing deadlines for the same reason everyone else does. The peak is short and buying for the peak is waste.
What the rental covers
The machine, the cable, the driver installation and the toner. We would rather include consumables than have you chasing a cartridge on a Saturday, and it makes the monthly cost predictable. Heavy users are quoted with a page allowance so nobody is surprised at the end of the month.
Network setup is part of delivery. Most offices want the printer visible to everyone rather than tethered to one machine, so we configure it on your network and print a test page from a second computer before we leave. Say if you need it working over wifi for people bringing their own laptops.
Choosing between renting and buying
The honest rule of thumb is duration. Under six months, renting almost always wins once you account for the machine, the cartridges and the fact that nobody has to dispose of it afterwards. Past a year, buying starts to look better unless you specifically want the servicing and replacement handled by someone else.
The other case for renting is uncertainty. If you do not yet know whether the team will be five people or fifteen, renting lets you change the answer in month three without writing off a purchase.
Delivery and support

If a machine develops a fault during the rental, we repair or swap it. That is the part that matters when a printer is sitting between your team and a deadline, and it is the main reason offices come back to us rather than buying the cheapest unit online.
Questions we get asked
Is toner really included?
Yes, on standard rentals. Very high volume users get a quoted page allowance instead, which we agree before delivery.
Can we rent just for a week?
Yes. Daily and weekly rates exist, though monthly works out considerably cheaper per day if you know the project will run.
Do you supply printers for exam duty?
Regularly. Tell us the expected page volume and the number of days and we will send a machine rated for it rather than one that will overheat on day two.
What about confidential documents on a returned machine?
Ask us and we will clear the device storage in front of you at collection. For sensitive work, say so at booking and we will supply a unit without a hard drive.
