Starting from the reveal, not the schedule

Most launch briefs arrive as a timetable. We work backwards from the reveal instead. How does the product physically appear, who is holding the room's attention in the thirty seconds before it, and what does the audience see on screen at the instant it happens? Once that is settled the rest of the running order falls into place quickly.

That order matters because the reveal usually dictates the technical build. A curtain drop needs rigging and a crew. A screen reveal needs the content cut to the second. A product wheeled on needs a clear route through a room that will be full of people and chairs.

Screens: LED wall or projection

This is the decision that most affects both budget and impact. Projection is cheaper and looks excellent in a controlled, dimmable room. It struggles anywhere with daylight or bright house lights, which describes a lot of hotel banquet spaces before the staff find the right switch.

An LED wall stays bright regardless, works outdoors and gives you a hard edged image that photographs well. Since press coverage is often the actual point of a launch, how the stage looks in a photograph is a legitimate reason to choose it. For smaller rooms and tighter budgets, a high brightness projector and screen does the job perfectly well.

Sound, and why speeches fail

Launch audio is mostly speech, and speech is unforgiving. A music system that sounds impressive will often make a softly spoken founder unintelligible at the back of the room. We specify for intelligibility first and set up lapel microphones for anyone presenting, with handhelds for the question and answer that follows.

Every presenter gets a microphone check before doors open, not after. Speakers who have never used a lapel mic behave differently once they have heard themselves, and it is far better that they discover this in an empty room. The wider audio visual setup is planned around the same principle.

Rehearsal is the deliverable

If we could insist on one thing, it would be a proper technical rehearsal on the day. Not a walkthrough of the agenda, an actual run with the real deck on the real screen, the real microphones and the person who will press the button standing where they will stand.

Almost every launch problem we have seen was visible in rehearsal and fixable in ten minutes: a video with no audio feed, a laptop that will not output at the right resolution, a presenter who walks out of the lighting. An hour spent here is worth more than any amount of equipment.

Streaming and recording

Launches increasingly play to two audiences, the room and everyone watching remotely. We can take a clean feed from the same switcher driving the screens, so the online audience sees the presentation rather than a camera pointed at a screen. Recording is worth taking even if you have no plan for it, because the clips stay useful long after the day.

Venues and coverage

If you have shortlisted venues but not committed, involve us before you sign. Ceiling height, power availability, load in access and whether the room can actually be darkened are cheap to check beforehand and expensive to discover later.

How early should we start planning?
Three to four weeks is comfortable for a standard launch. Anything involving custom staging, rigging or an LED wall in peak season wants six.

Do you handle the guest list and invitations?
We can coordinate registration desks and on site check in. Invitations and press outreach usually sit better with your own communications team.

Can you work with our agency's creative?
Yes, and we prefer it. Send us the deck and the video files a few days ahead so we can test formats and resolutions rather than finding problems on the day.

What is the most common thing that goes wrong?
Laptop to screen connections. Different adaptors, different resolutions, presentations built on a machine that is not the machine in the room. We carry adaptors for everything and still ask you to bring your own.
